Privacy Policy

This policy explains how The Royal Linkup handles personal data. It covers two groups: visitors who browse the public archive without an account, and Royal Linkers who hold member accounts. Different sections apply to each group.

Data controller

The Royal Linkup is a private application operated by the Royal Linkers group. For privacy enquiries, contact an admin through the app or message us on Instagram or TikTok.

Public visitors

If you visit the public archive (/spectate, /sessions, /players, /games, /faq, /about) without signing in, no personal data is collected by this application directly.

Server logs

Our hosting provider may automatically log technical information such as your IP address, browser type, and pages visited. This is standard infrastructure logging, not application-level analytics. We do not run first-party analytics or set tracking cookies on public pages.

Player names in the public archive

The public archive shows gaming aliases and member names chosen by Royal Linkers themselves. Members control whether their profile appears publicly through their visibility settings. If a member sets their profile to private, it will not appear in the public archive.

Suggestions

The suggestion form is available without an account. Submissions may include a name or message you choose to provide. This information is used only to evaluate the suggestion and is visible to admins only.

Royal Linker members

This section applies to members who hold accounts and sign in to the application.

What we collect

When you sign in via OAuth, we receive your name, email address, and profile image from your provider (Google or Discord). We also store:

  • Your gaming alias, display name, and any bio or gaming preferences you set
  • Connected gaming accounts (Steam ID, Discord username) when you link them
  • Your Steam game library, fetched from the Steam Web API when you sync
  • Game session records you are part of, including win/loss outcomes
  • RSVP responses and availability preferences
  • Profile visibility settings

How we use it

Your data is used solely to operate The Royal Linkup: authenticating your account, displaying your player profile, recording game sessions, coordinating events, and syncing your game library. We do not use your data for advertising, profiling, or sell it to third parties.

Lawful basis

Under UK GDPR, we rely on the following bases:

  • Contract: processing necessary to provide the service you have agreed to use (account operation, session recording, event coordination)
  • Legitimate interests:maintaining the Royal Linkers’ gaming history and archive, our legitimate interest in operating a private club record that members have a reasonable expectation of participating in
  • Consent: Steam library syncing, which you explicitly authorise by linking your Steam account

Third-party processors

We use third-party services to operate the application. Each processes data only as instructed by us and for the purpose of delivering the service:

  • Google, Discord: OAuth sign-in. These providers authenticate you; they do not receive your game session data. Each has its own privacy policy.
  • Valve (Steam Web API): Game library data when you link your Steam account.
  • Resend: Email delivery for invite notifications.
  • Hosting and database providers: Our infrastructure providers process data on our behalf to host the application and database.

International transfers

Some of our processors are based outside the UK or EEA. Where data is transferred internationally, we rely on appropriate safeguards: Standard Contractual Clauses (SCCs) or recognised adequacy decisions. For transfers to the United States, we rely on SCCs or the UK-US Data Bridge where applicable.

Data retention

Your account and all associated personal data (profile, connected accounts, RSVP records, availability) are retained while your account is active. Game session records that reference you may be retained as part of the Royal Linkers’ historical record, but identifying details can be anonymised on request. On a verified deletion request, we will remove your personal data within 30 days.

Your rights (UK GDPR)

If you are a Royal Linker member, you have the following rights regarding your personal data:

  • Access: request a copy of the personal data we hold about you
  • Rectification: correct inaccurate data
  • Erasure: request deletion of your personal data
  • Restriction: ask us to limit how we use your data while a dispute is resolved
  • Portability: receive your data in a structured, machine-readable format
  • Objection: object to processing based on legitimate interests

To exercise any of these rights, contact an admin through the app or message us on Instagram or TikTok. We will respond within one calendar month.

Right to complain

If you believe your data has been handled unlawfully, you have the right to lodge a complaint with the UK supervisory authority, the Information Commissioner’s Office (ICO) at ico.org.uk.

Automated decision-making

We do not make any automated decisions about you that produce legal or similarly significant effects. No profiling that affects your access or treatment within the app takes place.

Changes to this policy

We may update this policy when the app changes materially. The date at the top reflects the last revision. Continued use of the app after changes are posted constitutes your acceptance of the updated policy.
